Privacy Policy
GearsCheck is built and operated by The North Star Trucking Tech LLC ("we," "us"). This policy explains what information GearsCheck collects from drivers and facility staff who use the platform, why, and who we share it with.
1. Information We Collect
- Driver check-in details — name, phone number, carrier name, truck/trailer numbers, license plate, BOL/PO numbers, and cargo type, entered at self-check-in or by facility staff when scheduling an appointment or checking a driver in manually.
- Phone numbers — used to send appointment confirmations, a pre-arrival check-in link, and dock-status updates via SMS.
- Facility data — facility name, address, dock configuration, and a notification number for staff who want to be texted when a driver checks in.
- Chat messages with Scout — the AI assistant available while a driver waits; messages are sent for a single response and are not retained beyond what's needed to keep a conversation coherent during that visit.
2. How We Use Information
To schedule and confirm appointments, alert drivers and facility staff to check-in and dock status, answer driver questions through Scout, and let repeat drivers skip re-entering their information on a later visit to the same facility.
3. Who We Share Data With
We share the minimum data needed to run the platform with these providers, and do not sell data to advertisers or data brokers:
- Supabase — hosts our database.
- Twilio — delivers SMS messages.
- Anthropic — powers Scout's responses, via our own server-side proxy; Anthropic never receives an API key or account credentials.
- Netlify — hosts this website.
4. SMS Consent & Opt-Out
By providing a phone number on a GearsCheck check-in or appointment form, the driver agrees to receive SMS messages related to that visit (confirmations, check-in links, dock-status updates). Message and data rates may apply. Reply STOP to a GearsCheck text at any time to stop receiving messages, or HELP for support. Consent is not a condition of using any facility's services.
5. Data Retention
Check-in and appointment records are stored until the facility deletes them or closes their account. Scout chat messages are not retained past the visit they were sent during.
6. Your Choices
You can request a copy or deletion of your data, or opt out of future SMS, by emailing 18gears.support@gmail.com or replying STOP to any GearsCheck text.
7. Security
Data sent to Supabase, Twilio, Anthropic, and Netlify is encrypted in transit (HTTPS/TLS). No third-party API key is ever exposed in this website's client-side code — server-side credentials live only in our backend.
8. Children's Privacy
GearsCheck is built for commercial drivers and facility staff (18+) and is not directed at, or knowingly used by, anyone under 18.
9. Changes to This Policy
If we make a material change to how we collect or use data, we'll update the date at the top of this page.
